Personal Assistant

Job brief

We are looking for a responsible Personal Assistant to provide personal and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to the Executive Director’s working life and client + internal communication.

This position requires reporting to the SSM Creative Collective office in Downtown Wilmington 4x per week as well as remote work. Working hours may vary.

Responsibilities

  • Act as the point of contact between the Executive Director and internal/external clients and Collective members
  • Acting as a first point of contact: managing email correspondence and phone calls
  • Handle requests and queries timely and appropriately
  • Provide and maintain internal organization of task management systems
  • Aid in onboarding processes for clients and new Collective members
  • Manage and schedule meetings and appointments
  • Make travel arrangements
  • Run errands adjacent to work-life of Executive Director
  • Form and maintain professional relations with Collective Members and clients
  • Create and manage internal files stored on Google Drive
  • Source supplies and maintain office upkeep
  • Produce reports, presentations, and briefs
  • Devise and maintain an office filing system
  • Remind the Executive Director of important tasks and deadlines
  • Implementing and maintaining procedures/administrative systems
  • Liaising with Collective members, contractors, vendors, and clients

Requirements

  • Up-to-date laptop and cell phone capable of work communication through video, calls and texting; equipment will not be provided
  • Flexibility and adaptability. Ability to handle fast-paced work environment with ease and level head.
  • Experience in task management system Clickup or similar task management application (ex. Asana)
  • Proven work experience as an Administrative/Personal Assistant
  • Knowledge of office management systems and procedures
  • Outstanding organizational and time management skills
  • Up-to-date with latest office technologies
  • Ability to multitask and prioritize daily workload
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
  • The ability to be proactive and take the initiative
  • Tact and diplomacy
  • High School degree – Bachelor’s Degree preferred
